Data retention policy

How long each thing is kept and what is deleted automatically.

What is deleted automatically, and when

These periods are not a statement of intent: a job runs daily and enforces them. Whatever appears here as "deleted" is deleted without anyone having to ask.

What is kept while the service is active

The following is kept while the bot stays in the server, and goes away with the 30-day purge described above, or earlier if erasure is requested:

  • The server configuration and its modules.
  • Experience and levels of each member.
  • Moderation records: sanctions, reasons and dates.
  • Tickets: who opened them, who handled them, response times and form answers.
  • Economy balances and movements.
  • Birthdays, until the person deletes them.
  • Role panels, giveaways, polls, suggestions and starred messages.

A ticket conversation is not stored in our database. What remains is who spoke and when — what the metrics rest on — and, if the server enabled it, the channel transcript as a document.

Account and billing data

Open sessionsThey expire on their own; you can close them earlier.
Invoices and billing events10 years, by commercial and tax obligation (Colombian Commercial Code, art. 60). They cannot be deleted earlier.
API keys you revokeThe row is kept without the secret, so we can answer when it was disabled.
Technical logsRotated by size on the host, never archived and not consulted past a few days. They carry neither your email nor any secret: both are redacted.

Deleting before the deadline

A server administrator can delete their configuration, their shop or their whole economy from the dashboard at any time, and each closed ticket one by one — with its timeline and its transcript. An open ticket has to be closed first: its channel is still live in Discord, and deleting the record would leave it with no way to be closed. Each member can delete their own birthday with a command, and it is deleted with no copy kept.
